Use of Individual Machines
  
Individual machines may be used if entire trailer is not needed.  There will be a charge of $25 for

Special Instructions for Ministry Trailer Use--Please Read Carefully
  
The Ministry Trailer must be kept in a safe, secure area with the hitch lock secured over the ball hitch and the wheel lock installed on the driver's side wheel to help prevent theft.
  
The Ministry Trailer is not to be taken outside of Collin County unless otherwise approved by CBA staff.
 
When the Ministry Trailer is not attached to a vehicle it is advised to stabilize the trailer with wheel chocks.  A rock, brick, or log would be sufficient.
 
Pay close attention when you unload and unfold the inflatable so that you can re-roll and reload it the same way.  Be aure the inflatable is re-strapped to the yellow cart.
 
Be sure to position the tarp under the inflatable to help protect the bottom surface.  (Tarp is located in the Ministry Trailer)
 
Never roll up and pack the inflatable if it is wet.  This will cause mildew and damage the unit, which is not covered under warranty.
 
The inflatable unit must be operated over a smooth, compatible surface such as grass or a hard-top surface.  The unit may NOT be operated on a rough surface such as rocks, bricks, glass, or any jagged objects.  The unit must be anchored prior to use and deflated in high winds or gusts.  You will need to use special anchoring provisions (sandbags) if the inflatable is used on a hard-top surface (parking lot, etc.).  The unit POSITIVELY should NOT be located within 5 feet of any wall, pole, or fixed object.
 
Please read and follow all directions for use of each piece of equipment provided.  (See notebook in trailer.)
 
The optional concession slide-window can be inserted or removed from the Ministry Trailer depending on the type of planned ministry (food distribution, puppet show, etc.)
 
Your church/organization is responsible for cleaning all equipment used.  If any equipment is lost or damaged, your church will be responsible for replacement of items.  Please make sure all machines are put in their proper places on the trailer (see map posted in trailer).
 
If you discover any damage to any of the equipment upon set up, you must notify the CBA immediately, otherwise your church/organization will be held liable for the damage.  Messages can be left on voice mail after hours at the CBA (972.562.5818).
 
User must furnish electrical outlet without anything else connected.  Use only one machine or blower per fuse circuit.
 
For pickup, you will need to provide a suitable pulling vehicle with a 2" ball hitch.  Please note that this is a 14 foot trailer weighing in excess of 3000 pounds with contents.  An experienced driver with trailer maneuvering proficiency is essential.  A 5-pin light and electric brake hook-up is provided.  IMPORTANT--The packed up inflatable is large and heavy (300 lbs.).  You will need four men to load and unload the inflatable from the trailer.  There are two flat dollies on the trailer to assist with loading and unloading.
 
An adapter is available, if needed, to plug up the lights.  It is hanging on the front wall inside the trailer.
 
To reserve and secure your date please call Collin Baptist Association to have your date put on the calendar.  All forms and insurance fee are required two weeks prior to your reservation date.

       Chuckee Cheese--May donate gift certificateof a family pass or 30 minutes of Mouse
       Chick-Fil-A--May donate 30 minutes of the Cow and git certificates
       Coke, Dr Pepper, Pepsi--May donate 2 liter bottles (need 2 months advance notice)
       Tia's Restaurant--Chips and salsa
       Grocery stores--Ask them to donate a product, $25 gift certificates for hotdogs, etc. 
(Don't give up; show persistence and appreciation--buy a little and get a little (example:  get hotdog donation and buy the buns)

CBA Ministry Trailer Loan Agreement (Exhibit A)

 

For and in consideration of the mutual promises and agreements recited herein, Collin Baptist Association, Inc. (hereinafter referred to as "CBA"), hereby loans to ___________________________________, (hereinafter "church"), the following property under and subject to the following terms and conditions:

 Property Loaned.  CBA hereby loans to the church the following property (the "Property") attached hereto and incorporated herein as Exhibit "A".
 
  
Terms and Conditions.  CBA and Church hereby agree to the following terms and conditions:
    1.       Church shall pay to CBA upon execution of this Loan Agreement the Yearly Insurance fee, pursuant to the schedule set forth on Exhibit "B" which is attached hereto and incorporated herein, to use the Property.
    2.       Church shall return the Property to CBA or assigned church at or before
_____________ o'clock _____.m. on _____________________ (the "Return Deadline").

    3.    Church shall return the Property to CBA in the same condition as the Property was in at the time church took possession of the Property pursuant to this Loan Agreement.

    4.       Church shall be solely responsible for the use, maintenance, upkeep and condition of the Property from and after the time the church takes possession of the Property until such time as the church returns the Property to CBA and CBA acknowledges its receipt. To the extent not covered by CBA property insurance coverage, any damage to the Property which occurs while the Property is in the church's possession or as a result of the church's use of the Property regardless of when occurring, shall be the church's sole responsibility, and the church shall pay directly, or reimburse CBA for, any and all such damages, expenses and costs related to the repair or reduction in value of the Property or any portion thereof. All warranties, expressed or implied, concerning the Property are hereby disclaimed and waived.

   5.       The church hereby indemnifies and holds harmless CBA and CBA's agents, employees, representatives and assigns from any and all liability, claims, causes of action, losses, damages, injuries and expenses incurred by any person, organization or entity including, but not limited to, personal injury or death or loss or damage to any property (hereinafter "Losses"), as a result of or during the church's use of the Property, from the time the church takes possession of the Property from CBA until such time as the church returns the Property to CBA and CBA acknowledges its receipt, whether or not the Losses were caused in whole or in part by the negligence of CBA.

 

  6.       The church hereby represents and warrants to CBA that the church has the experience and adequate knowledge to properly use and operate the Property and the church understands and acknowledges that CBA is not responsible for instructing, directing or supervising the church in the use or operation of the Property.

   7.    The undersigned represents and warranties they are authorized to execute this agreement on behalf of the party they represent. This agreement represents the final agreement between the parties and may not be contradicted by evidence of prior, contemporaneous, or subsequent oral ag

How Do I Reserve the CBA Ministry Trailer?
  
The trailer may be reserved up to one year in advance of the date wanted.
  
Look on the Ministry Trailer Calendar and check to see if the desired date is available.  Call or email 
CBA at 972.562.5818 or This e-mail address is being protected from spambots. You need JavaScript enabled to view it to reserve the date.  The date will be added to the calendar, but will be considered "tentative" until fees and paperwork are received.
  
From the website, please print the necessary forms:  Reservation Form, Loan Agreement, Inventory
List, and Supply Order Form (if ordering supplies from CBA).  Send these to CBA along with the 
required fees: $150.00 (if using Bounce House) for the yearly insurance fee plus $75 user fee (total fee:  $225).  Make check payable to Collin Baptist Association, and mail to 970 S. Highway 5 / McKinney TX  75069.  The $150 Insurance fee is required only once a year.  Collin Baptist Association has secured the liability insurance for the use of the Bounce House.  A non-contributing church must pay a user fee of $150 each time the trailer is used.
  
Two weeks before your reservation date:  Make sure all necessary payments and forms have been received by CBA.  Popcorn, Cotton Candy, Sno-Cone and Nacho supplies can be purchased at the CBA office.  A Supply Order Form is available on this website with items and cost.  When the Ministry Trailer is returned, your church will be billed for the supplies used for your event.  
 
Important Info Concerning Ministry Trailer and Equipment 
 
      •The insurance fee for the Ministry Trailer (including machines) and Bounce House will be $150 paid one time per year (calendar year Jan-Dec).
     •The user fee for a contributing church will be $75 each time the trailer is used.  The user fee for a non-contributing church will be $150 each time the trailer is used.
     •The Sno Cone, Popcorn, Cotton Candy, Nacho, and Hot Dog machines and the Sound System can be used without the trailer, but there will be a $25 per machine charge each time a machine is used by a contributing church.  For a non-contributing church, the fee will be $50 per machine. 
     •When reserving the trailer, all paperwork and fees are due two weeks prior to the event.  The reservation date will remain "tentative" until the paperwork and fees have been received. 
     •The machines must be returned cleaned and ready for the next church to use.
 

 

 

The Ministry Trailer is available to contributing
Collin Baptist Association churches for use as a ministry resource.
  
The Ministry Trailer contains  a Bounce House, Popcorn Popper,
Sno-Cone Machine, Cotton Candy Machine, Nacho Machine, Hot Dog Cooker and Bun Warmer, and some other items (see Inventory List). 
  
The trailer may be checked out for one day (24 hours).  Under special circumstances it may be checked out for a longer period of time.
